FAQs

Why can't I open this month?

Months must be submitted in order, so a month remains locked while an earlier month is still outstanding. Open and lodge the earlier month first. See View facility details.

Why isn't one of my nurses counting towards coverage?

Their role is most likely not mapped. Loop IQ only counts roles that have been mapped as RN roles, so an unmapped role may cause the day to appear as an absence. Check your role mapping, including any agency roles. See Map your roles.

Where can I find the spreadsheet template, and how do I upload it?

Set your facility’s data source to Spreadsheet, then click Download template on the Configuration page. Complete the template on your computer, then upload it on the submission page. You can upload as often as needed during the month. Only .xlsx files that match the Loop IQ template are accepted, so do not change the template’s structure or replace it with a roster exported from another system. See Set up your data source.

Why am I seeing a conflict?

Two sources have recorded the same day differently. Most commonly, this is an uploaded roster and a connected workforce management system, or a new upload and days already recorded. Loop IQ does not choose between them, so the day is held until you select the correct source. See Resolve conflicts.

What counts as a reportable gap?

A period of 30 minutes or more without an RN on site. Separate gaps are never combined, so two 20-minute gaps on the same day do not count as a reportable gap. See Review your submission summary.

What do the submission statuses mean?

Not started means no days have been recorded. Offline means days have been recorded in Loop IQ but nothing has been sent to GPMS. In progress means a draft has been submitted to GPMS. Submitted means the final submission has been lodged. Only Submitted meets your reporting obligation. A month that has not reached Submitted by the due date is marked as a Late submission, and you cannot submit the following month until it has been lodged. See Submission statuses explained.

Does Not recorded mean there was no RN on site?

No. A day without a status is excluded from the coverage calculation rather than counted as zero, so it does not lower your coverage percentage. You can save a draft with unrecorded days, but every operational day must have a status before you can make your final submission. See Day statuses explained.

What is the difference between Submit draft and Submit final data?

Submit draft sends the month to GPMS as In progress, so the Department can see it, and you can return and make changes. Submit final data lodges the month to GPMS, and this is the submission the Department receives. See Declare and lodge your submission

What happens if I miss the deadline?

Your final submission must be lodged before the reporting period closes at 11:59 pm AEST. A month lodged after its reporting window closes is marked as a Late submission, and you cannot submit the following month until the late month has been lodged. If your facility receives the 24/7 RN supplement, you may also lose the supplement for that month. See Declare and lodge your month.

Why isn't a lodged month showing in Past submissions?

Only submissions lodged through Loop IQ are displayed. Months lodged directly in GPMS, or before your organisation began using Loop IQ, will not appear. See View past submissions.

Does Loop IQ tell me whether I'm compliant?

No. Loop IQ records and lodges the information you report. The figures shown reflect the coverage you recorded and do not represent a compliance assessment. Any determination based on this data is a matter for the Department.
